Terms and Conditions for Melanated Campout
In order for all guests referred to as campers to enjoy the Melanated Campout feeling, we kindly ask all campers to respect the following terms and conditions at all times. We reserve the right to request campers not observing these conditions to leave the campsite with immediate effect and without refund.
Please note: we DO NOT accept caravans, motorhomes, transit vans, nor RVs without prior agreement. Please buy the RV package.
Rain or Shine Event- Events will not be cancelled for rain. This is a rain or shine event.
Deposits– We are happy to accept deposits. But please note, there are no refunds.
Generators- NO OUTSIDE GENERATORS are allowed on the Campgrounds. Sorry, it’s not our rule. But don’t worry, there are areas of the park that have electricity.
Noise – We are here to have a great time, so please respect your neighbors. No amplified music. Please keep noise to a minimum after 12am.
Animals – No animals permitted.
Behavior – Everyone wants to have a good time and make it back home safely. No fighting. No escalated arguments. No activity that infringes on the right of your neighbor to be safe and comfortable. We reserve the right to ask you to vacate the premises immediately if your behavior is not that of a responsible adult. If you are asked to leave, no refund will be issued.
Any wilful damage to the Site or any other Melanated Campout property will result in you being asked to immediately leave the Site. If you are asked to leave under these circumstances, no monies will be refunded.
The camper consents to any potential searches while onsite (including upon entry to the event) for any prohibited items (i.e. illegal items) and the seizure of such items if found. In case of seizure, such items shall not be returned.
Tent pitches – You are allowed 1 tent site per registration. In order to ensure everyone has space to enjoy their campsite, please limit your tent size to no larger than 15’x9’ for Solo package. And 20’x10’ for Tent Space package.
You are permitted up to 4 people total per campsite. There are no pre-allocated pitches, unless you pay to reserve your space ahead of the event. Please ensure when pitching you leave at least 10 feet between tents. Any additional campers above the allocated 4 must pay for an additional tent site. We reserve the right to refuse 1) additional campers and/or 2) campers if the details given are incorrect.
Adults only – Must be 21 and older to book and attend. Please bring a valid Photo ID.
Payment – Payment in full is required upon registration. No Refunds.
Refunds & cancellation – In the event of a cancellation, we are not able to offer refunds, we are also not able to provide refunds in the event of leaving early. In the event of a cancellation by us, our liability shall be limited to the return in full the monies paid.
When making a booking you agree that all members of your party are 21 and older, you have the authority of all persons in your party to book on their behalf, you accept these Terms & Conditions and you agree to be responsible for any loss or damage caused by any member of your party or animal accompanying you.
If you are unable to attend, you may reassign your ticket. Please ensure the person that will be attending is of age, accepts the terms and conditions, and their contact information is provided no later than 10 days before the event, so that we can work to ensure they have signed all forms.
Arrivals – On arrival all guests must report to reception. Please check the schedule for the most current check-in times. If you are going later, please let us know and we will work to accommodate you. You will be issued a tag, parking pass, and wristband which confirms your payment and must be attached to your tent, car, and wrist at all times.
Departures – Please vacate by 1pm on day of departure, pitches and tents must be left in the state they were found and be clear of all rubbish.
Parking – Please park with consideration of others, at busier times a parking area may be in operation. Each tent site is allowed 1 car. An additional space is available for purchase. This will be strictly monitored and enforced.
Campfires – We encourage campfires, but they must be off the ground in fire pits. You are not permitted to collect wood from the campgrounds. Further, you are responsible and fully release Melanated Campout, LLC of any damages to person or property that may occur as a result of your campfire.
BBQs – BBQs must be raised off the ground, no BBQs are to be positioned directly onto the grass.
Speed limits – The speed limit is 5 mph on the campgrounds. This will be strictly enforced.
Site damage – Site facilities left in an unsatisfactory state, and any damage above reasonable wear and tear will incur extra or replacement charges to be determined by Melanated Campout, LLC.
Rubbish disposal – Please keep the site tidy at all times and on departure, clear your tent and campsite of all rubbish using the provided facilities. Please take home any broken tents and equipment.
Emergency contact – There will be a member of the Melanated Campout team available 24/7 for emergencies. This number can be found at reception and in your welcome info sheet.
Liability – The owners of the campsite and Melanated Campout Camping, LLCd are absolved of all liability for accidents to tents, and guests and from any responsibility for loss or damage to personal property.
Misc – Any photographs, descriptions or advertising we issue, and any descriptions or illustrations contained in our catalogues, brochures or on our website, are issued and published solely to provide you with an approximate idea of our sites and services. They do not form part of the contract between you and us.
Promotional Photos– The camper consents to the use of his or her image, likeness, actions and statements in connection with any recorded audio, photograph, video or other publication of the event. Certain items may be prohibited by the policies of management, venue, promoters, participants or organizers. 3rd Party Data Access/Contact- At times we may make your data available to our sponsors for advertising purposes. Joining our mailing list is also consent to join their mailing list. Please note, you can opt-out at any time. In addition, by providing your phone number and email, you consent to Melanated Campout contacting you regarding any events, upcoming events, promotions, or anything related to Melanated Campout, unless otherwise requested.
